How to prepare a complaint and find support

Organise the evidence, choose the competent body and keep track of deadlines.

Prepare a concise case file

Create a timeline, name the person or organisation involved and explain the harm and requested action. Separate facts you witnessed from assumptions or information from others. Attach relevant copies with a short index, retain originals and note any current decision or court deadline. Do not delay an urgent remedy while waiting to assemble a perfect file.

Submit an RPO application

Use the current official RPO form, postal or in-person instructions. Provide your name, address, account of the situation and relevant documents. Foreigners can also seek help; Polish citizenship is not a general requirement. RPO assesses its competence and possible action, rather than automatically acting as your lawyer or granting damages. Dedicated whistleblower channels have separate rules.

Choose additional help

Ask PIP about labour-law issues, police or a prosecutor about suspected crime, and the relevant authority about an administrative decision. People unable to afford paid legal assistance can check the public legal-aid system, including its conditions and appointment procedure. Confirm the language, interpretation arrangements and whether representation is included; a consultation alone does not file a claim.

Track the response and deadlines

Keep proof of submission, the case reference and responses. Ask how to correct missing information and where to send new evidence. RPO, PIP and internal complaints do not themselves extend court or appeal deadlines. Follow the instructions for your actual decision and seek timely legal advice. Share sensitive records only through the official channel needed for the case.
